Sales process
The Synerglass sales process implemented in Salesforce enables comprehensive tracking of sales opportunities. Based on Synerglass’ complex price catalogue integrated into Salesforce, subscription and investment quotes are created, including the generation of a customised PDF. Monthly, quarterly, annual or even flat-rate fees are calculated according to the billing types of the products included in the quote.
Operational centralisation
Orders, which generally originate from sales opportunities, are classified by type (subscription, investment, and advertising). Orders can be activated globally or individually by item. This option is very useful for subscriptions, where items are not necessarily activated at the same time. In addition, an automatic subscription order incrementation system is in place so that new items selected by the customer are directly incremented to that customer’s active subscription.
Billing process
Each item in the order is linked to a billing process that defines the billing parameters for that item. When activated, billing transactions are automatically generated based on the selected process, providing a reliable financial forecast. Recurring items generate periodic transactions, while investment items generate fixed transactions based on a payment plan (e.g. 30%-30%-40%). The invoicing process also allows invoices to be generated in PDF format and sent with VAT rules management.
Finally, invoicing reports make it easy to view the items to be invoiced in the current invoicing period.
Integration with accounting
Once the sales process was in place, the team noticed that a lack of communication between the Sales, Billing and Accounting departments was preventing optimal follow-up. Yelido then proposed integrating billing into Salesforce and automating exchanges between Salesforce and the accounting tool.
Invoices sent to customers are now sent via API to Synerglass’s accounting tool. This integration greatly facilitates the exchange of information between the invoicing and accounting departments.
