Orkkestra Billing - The SMB's Salesforce billing app

Many small and medium-sized businesses (SMBs) that use Salesforce as their CRM face a recurring challenge: managing billing and subscriptions requires third-party tools, leading to data synchronization issues, high integration costs, and increased operational complexity. Orkkestra was designed to meet several key objectives. The first was to offer a solution that is fully native to Salesforce, without any external databases or third-party APIs, thereby ensuring seamless real-time data synchronization and eliminating integration issues. The product also needed to feature a flexible pricing engine capable of handling various pricing models—flat-rate, tiered, volume-based, or usage-based—to adapt to the diverse business realities of companies.

Automating the billing cycle was another pillar of the project. From creating orders and subscription contracts to generating and sending invoices, the entire process needed to be automated to reduce manual intervention and the risk of errors. Compliance with European e-invoicing standards was also essential, with certified access to Peppol access points and support for the Factur-X and XRechnung formats.

Finally, Orkkestra had to provide complete visibility into past and future revenue through forecasting features and consolidated dashboards, enabling executives to effectively manage their financial operations.

Yelido developed Orkkestra as a second-generation Salesforce managed package, structured around several complementary modules.

The order and contract management module allows you to create and track all customer commitments directly in Salesforce. One-time orders and recurring subscription contracts are managed within a unified interface, with support for automatic prorating and mid-term amendments.

The billing engine is the heart of Orkkestra. It automatically generates transactions based on defined parameters, supports monthly, quarterly, annual, or custom billing cycles, and creates recurring transactions in advance to provide clear visibility into future billing. Forecasting features automatically project revenue based on active contracts, feeding native Salesforce dashboards for financial management.

PDF invoices are generated using customizable templates, with direct email delivery and full traceability. To meet European requirements, the module supports e-invoicing compliant with Peppol, Factur-X, and XRechnung standards, allowing either sending via certified access points with an integrated audit trail or the generation of XML files for integration into your accounting software.

Orkkestra also offers integrations with time-tracking tools like Tempo to automatically bill for recorded services, as well as integrations with accounting software such as Bob or Clearfacts.

The 100% native Salesforce approach eliminates the data synchronization issues that plague solutions relying on third-party integrations. Customer information, orders, and invoices are always up to date and accessible in real time.
